This role is accountable for the worldwide processing of orders for medical products and spare parts, which includes monitoring delivery dates and preparing offers.
Primary Responsibilities
Processing international orders (quotes, orders, deliveries, invoicing, credits) for medical devices and spare parts, along with tracking deliveries and providing quotes
Handling commercial aspects of repairs and returns, including preparing cost estimates and arranging substitute deliveries
Ensuring shipping and delivery processes comply with national regulations, as well as import requirements for return and repair deliveries
Handling invoicing, creating and processing necessary export documentation
Providing active customer service and consultation via phone and in writing for job-related and technical inquiries, working closely with sales and product management
Ensuring strict adherence to export, tax, and hazardous goods regulations
General Tasks
Possessing extensive knowledge of key processes in Customer Service and related departments that interact with Customer Service
Serving as a central control point in the value creation process, acting as a cross-departmental link to product management, purchasing, shipping, and production control in areas relevant to order execution or addressing customer concerns
Collaborating closely with sales on customer service, pricing, and mailings
Adhering strictly to quality, occupational safety, and environmental regulations
Ability to work independently, taking accountability for task outcomes
Capable of independently familiarizing oneself with responsibilities due to methodological knowledge and professional experience (aside from organizational training)
Acting as a mentor for junior professionals and responsible for training others
Required Experience, Education, Skills, Training and Competencies
Specialized experience in Customer Service, typically acquired through 2 to 5 years of relevant work
Requires analytical skills to handle complex problems, requiring information gathering from various sources
Problem-solving involves diagnosis and interpretation of conflicting or ambiguous information, acting as an advisor to others
Expertise in administrative, technical, or operating procedures
Proficiency in MS Office, SAP, and/or Oracle, along with excellent command of German and English in verbal and written communication for complex technical or commercial discussions
