Logistics Coordinator for Nordic Pavilion at EXPO 2025 Osaka
The World Expositions, or Expo, is a main venue for showcasing achievements of nations globally and a platform to share ideas for a better future. The next World Expo will be held 2025 in Osaka, Japan, the world’s 3rd largest economy, and will host a Nordic Pavilion. We are now looking for a Logistics Coordinator to join our team in the Nordic pavilion.
The next World Expo will be held from 13 April to 13 October 2025 in Osaka, Japan, and will bring together countries from around the world to explore the theme Designing Future Society for Our Lives. This global event will showcase innovative solutions, promote international cooperation, and inspire conversations on shaping a sustainable and inclusive future. The organizer estimates that around 160 countries will participate and around 28 million visitors will attend the world exhibition.
The Nordic Pavilion is a collaboration between Denmark, Finland, Iceland, Norway, and Sweden, showcasing the region's culture, innovation, and sustainability on the global stage. Together, these countries represent a powerhouse of creativity and forward-thinking solutions, making the Nordic Pavilion a must-visit destination at EXPO 2025 Osaka.
The overall purpose for the Nordics participation at Expo 2025 Osaka is to drive environmental and sociable transformations, increase Nordic-internal collaboration, with a focus on Japan and Japanese companies, as well as to position the Nordics as a front-of-mind business partner in environmentally and socially sustainable transformations for a better global future.
Business Sweden is given the responsibility to lead the joint Nordic presence at Expo 2025 Osaka in coordination with the other Nordic countries and together with Nordic partner companies to ensure successful participation.
The Nordic pavilion
Built by Rimond Architects, the Nordic Pavilion is a 1,200 m2, 17 m high wooden structure that illustrates a timeless and sustainable mindset. The pavilion houses a joint Nordic exhibition, a shop, a roof terrace with a café as well as a conference section.
The ground floor of the pavilion is where the public exhibition will be situated. The second floor hosts premises for the pavilion staff. The third floor of the pavilion hosts the conference section where participating companies and organizations can book and organize their own events.
The exhibition, shop, roof terrace, and restaurant will be open to the public approximately twelve hours a day during the six months of the world exhibition. Deliveries in/out from the pavilion will mainly take place outside opening hours.
About the position
The Nordic pavilion is recruiting a Logistics Coordinator to coordinate the transport of goods in and out of the pavilion before, during, and after the duration of the EXPO in Osaka.
This includes responsibility to liaise with the EXPO 2025 Osaka organization, with the Nordic partner organizations as well as the service providers e.g. the shop & restaurant, and contribute to efficient logistics operations.
The position entails working in close cooperation with the Event Manager (responsible for facilitating the events organized in the conference section as well as in the front yard) as well as the other of the pavilion’s senior management.
The candidate should have well-documented experience from Logistics management. Categorized as a typical doer, the candidate should have the drive and be used to taking own initiatives, as well as having the ability to implement and complete tasks with excellent results within short timelines.
The role includes responsibilities such as:
- Map and ensure the process for logistics during the preparation phase, the duration of the world exhibition, and during a part of the dismantling period after EXPO’s closure.
- Map, stay updated, and liaise information from EXPO 2025 Osaka organization to relevant stakeholders in the pavilion and its partner organizations.
- Coordinate deliveries to and from the Nordic pavilion with freight forwarders and suppliers for exhibition, shop & restaurant as well as program operations (partners and organizations organizing events in the pavilion).
- Suggest improvements of the logistics process to the senior management.
- Update the pavilion’s documentation concerning logistics (e.g. Event Manual) when relevant.
- Be prepared to support other parts of the operations for the Nordic Pavilion.
- Be part of the pavilion’s Crisis Response Team and ensure the safety and security when it comes to transport to/from the pavilion

Formal requirements
- You have an academic degree within a relevant field of studies.
- You have a minimum of 2 years working experience from logistic/transport in an international environment.
- You have a high level of proficiency in written and spoken English as well as in Japanese. Advantage with a Nordic language.
- Advantage with work experience from the Nordic countries/Nordic organization
- You are experienced within MS Office
- You are driven, structured, and used to taking own initiatives and can deliver results within short timelines.
- Valid working permission in Japan is required.
Contract period
Temporary employment from February to October 2025 in Osaka, Japan. (exact dates to be decided between the candidate and the Nordic Expo PMO).
